Improving efficiency within your business will help you accomplish more, save money and resources and will prove helpful to both you and your staff. The following are a few helpful ways to increase efficiency within your workplace:
- One of the first and most important efficient skills in any business is communication. Whether it’s communicating with your clients or your staff, clear and precise communication is key to a well-working business. Always make sure that your expectations and instructions are clear and that the party receiving them understands completely. One way to ensure that this happens is to repeat what you said in a little different way at the end of your conversation to make sure they heard you and understand what you want. Depending on who you are communicating with, you’ll want to tailor how you speak to them. However, it’s important to always keep your language simple and clear and easy to understand.
- Planning ahead is another surefire way to improve efficiency within the workplace. When you plan ahead, you are able to see upcoming projects, deadlines, meetings, etc. and have adequate time to prepare for them. Holding regular planning meetings is an effective way to see those things that are in the near future and to make sure that all your office staff is on the same page. These meetings can be held daily or weekly, depending on your business’ needs and are a great place to discuss projects and delegate tasks. Keep an updated calendar on your computer and set reminders for upcoming projects, meetings and events.
- Once you’ve planned your upcoming responsibilities, it’s important to prioritize in order to avoid inefficiency. Each morning when you get to work, look at your to-do list and prioritize. Once you have things in order of urgency, start completing tasks and crossing them off your list. Avoid procrastination by scheduling your less interesting or routine tasks for first thing in the morning so they are done and the rest of the day is left to things you are more motivated to do.
- Finally, learning to delegate and simplify your daily processes will save you both time and money when it comes to running your business. Daily tasks that can be done by staff members should be carefully delegated out, management of inventory can be more effectively and accurately done by an automated inventory system, and ongoing office processes should be simplified as much as possible to improve efficiency.

And yes I really agree with you that delegation can ensure management efficiency and it can also help to reduce job stress and enhance operating cores decision-making capabilities; which in turn will encourage motivation and employee commitment. And thus it will ensure the achievement of the sub-ordinates unit objectives in corroboration to the organisational objectives. I love this better management cycle governed by a single simple tool known as delegation.
